My Account

Manage your profile, subscription, prepaid credit wallet, and API keys — all from one place.

What is My Account?

My Account is the central settings area for managing your personal details and account-level configuration. It is divided into four tabs — Profile, Connect Zoom, Subscription, and Credit Wallet. All team members can see the Profile and Connect Zoom tabs. The remaining tabs are visible to account owners and admins only.

Profile
Update your name, email address, and password. Google sign-in users cannot change their password here.
Connect Zoom
Link your personal Zoom account so that online appointments automatically generate a Zoom meeting link. Available to all team members.
Subscription
View your current plan, trial status, billing dates, minutes usage, and cancel or reactivate your subscription.
Credit Wallet
Pre-load AUD credits to cover call minutes beyond your plan limit. Deducted in real-time as overage occurs.

Profile

The Profile tab lets you update the personal details associated with your Nexwin account.

Email AddressThe email used to log in. Email/password accounts can update this field. Google sign-in accounts cannot change their email here.
PasswordChange your password by entering your current password and a new one. Not available for Google sign-in accounts.
Google accounts If you signed up with Google, your name and email are managed through your Google account. Password fields are hidden for Google sign-in users.
Nexie AI Assistant toggle Further down the Profile tab is a switch controlling whether Nexie's floating chat bubble appears across your dashboard. It's on by default (opt-out). See the Nexie guide for what she can do.

Connect Zoom

The Connect Zoom tab lets any team member link their personal Zoom account to Nexwin. Once connected, online appointments assigned to you automatically create a Zoom meeting — no manual setup needed. This tab is available to all roles, including team members.

Each member connects their own account. Zoom connections are per team member — each person must connect their own Zoom account individually while signed in to their own Nexwin account. For a full walkthrough, see the Zoom Connect guide.

Subscription

The Subscription tab shows your current plan details, billing information, and options to manage your subscription. It is only visible to account owners and admins.

Plan status badges

Free TrialYour trial is active. 100 minutes are included. The trial ends on the date shown.
Trial PausedAll 100 trial minutes have been used. Activate your paid plan to restore service.
ActiveYour subscription is live and billing normally.
CanceledSubscription canceled — access continues until the period end date shown.
EndedSubscription has fully expired. Reactivate to restore access.

Trial activation

During a free trial you can activate your paid plan early by clicking Activate Now. This immediately charges your card and unlocks your full plan minute allowance (500 or 1,000 min/month).

If your trial minutes run out before the trial period ends, the service is paused. A red banner appears with an Activate Now button to restore service immediately.

Cancellation and reactivation

  • To cancel, expand Need to make changes? at the bottom of the tab and click Cancel Subscription.
  • Cancellation can be immediate (with a prorated refund) or at the end of the current billing period.
  • A canceled subscription can be reactivated before the access end date using the Reactivate button.
  • An ended subscription can be renewed using the Reactivate button — this creates a new subscription from today.

Credit Wallet

The Credit Wallet is a prepaid AUD balance used to cover call minutes beyond your plan's monthly allowance. Credits are deducted in real-time at the end of each call — not invoiced at the end of the month. This tab is only available on Nexwin AI Receptionist plans.

Why prepaid? Real-time credit deduction means you always know exactly how much you're spending. There are no surprise invoices at the end of the month. Add credits in advance and the wallet handles the rest automatically.

How overage billing works

When a call ends and the total minutes used this period exceeds your plan allowance, the overage minutes for that call are costed at your plan's rate and deducted from your credit wallet immediately. If the wallet balance reaches zero, the AI receptionist is paused until you add more credits.

Adding credits manually

Go to My Account → Credit Wallet and click + Add Credits.

Select a preset amount ($10, $25, $50, or $100 AUD) or enter a custom amount. The minimum top-up is $5 AUD.

Review the summary showing the new balance and how many extra overage minutes the amount covers.

Click Pay. Your saved card on file is charged and credits appear in the wallet immediately.
Service pause on empty wallet If your credit balance reaches $0.00 and a call generates overage minutes, the AI receptionist is paused immediately. Add credits to restore service. Your included plan minutes are unaffected — only overage is drawn from the wallet.

Balance display

Trial accounts

The Credit Wallet tab is visible during a free trial. However, credits only become active once your paid plan is activated. During the trial, only your 100 included trial minutes are used — no wallet deductions occur. You can pre-load credits during the trial so they are ready when you go live.

Transaction history

The bottom of the Credit Wallet card lists your recent transactions. Each entry shows the type (top-up, deduction, or refund), a description, the date, the amount, and the resulting balance after the transaction. Click View all transactions to expand the full list.

Auto Top-Up

Auto Top-Up automatically recharges your credit wallet when the balance falls below a threshold you set — so you never have to manually top up or risk an unexpected service pause.

Setting up Auto Top-Up

In the Credit Wallet tab, find the Auto Top-Up section and click Set up (or Edit if already configured).

Toggle Enable auto top-up on.

Set the trigger threshold — the balance (in AUD) at which an automatic top-up fires.

Set the top-up amount — how much AUD to charge to your saved card each time.

Click Save. The settings take effect immediately.

Top-up amount ($)The amount charged to your saved card each time the trigger is hit. Minimum: $5 AUD. Default: $50 AUD.
Saved card required Auto top-up uses the card on file from your Stripe subscription. If no card is saved, the auto charge will fail. Make sure your payment method is up to date in the Subscription tab.

Role-Based Access

What you can see in My Account depends on your role within the account.
