My Customers

Your customer list is what lets the AI greet a returning caller by name instead of starting from scratch. Records build themselves as calls come in, and you can add, import, edit, export, and block callers from here.

What My Customers is for

My Customers is your contact list — every person your AI has spoken to, plus anyone you add or import yourself. It is what turns a cold call into a recognised one.

The page shows a searchable, paginated table with each customer's Name, Email, Phone, and a Calls count. Use the search box to filter by name, email, or phone. Only account owners and administrators can open this page.

You don't have to build this list It fills itself as your AI takes calls. Importing is a head start, not a prerequisite.

How the AI recognises a returning caller

At the start of a conversation the AI looks the caller up — by phone number on a call, or by email in a chat — and adjusts how it greets them.

A match is found
The AI greets them by name — "Welcome back, John" — and treats their details as already known.

It stops asking for what it already has
Name, phone, and address on file are used silently rather than re-collected, so a returning caller isn't marched through the same questions again.

No match
The caller is treated as new and the AI collects details normally, then saves them for next time.

The phone lookup is format-tolerant: +61400000000 and 0400000000 are recognised as the same person, so you don't need to normalise numbers before importing.

Recognition is a convenience, not proof of identity Anyone calling from a known number is greeted as that person. Where identity actually matters — cancelling someone else's appointment, for instance — turn on OTP Verification in AI Setup. Returning status never bypasses it.

Records the AI creates for you

When the AI books an appointment for someone it doesn't recognise, it creates a customer record from the details captured in the call — name, phone, email, address, preferred time, and any notes.

  • For an existing customer, the AI only fills in blanks — it never overwrites a field you have already filled in yourself. Details you curate by hand are safe.
  • The Calls column counts how many times that person has been recognised on a call. It shows in your brand colour once it is above zero.
  • A customer with no name captured is listed by their phone number or email instead, so the row is never blank.

Adding and editing a customer

Click Add Customer to create a record, or click any row to edit one. The same form is used for both.

Notes reach the AI "Prefers afternoon appointments" or "Always asks about parking" is exactly the sort of thing to record — it makes the next call smoother. Keep sensitive commentary out of this field.

AI call memory

When you open an existing customer, the bottom of the form shows what the AI recorded from their most recent call. It is read-only — generated from the call, not something you edit.

The section only appears once there is something to show, so a newly added customer won't display it.

Importing customers from a CSV

Bring an existing contact list in so your AI recognises those people from its very first call.

Download the template
Click Template to download customers_template.csv, which has the expected header row and one example row.

Fill it in
One customer per row. Only First Name is mandatory — rows without one are skipped.

Import
Click the import button and choose your file. A toast reports how many were imported and how many skipped.

Accepted column headings

Headings are matched case-insensitively, and each accepts a few spellings so an export from another system usually works unchanged:

Commas inside a field will break that row The importer splits on commas, so a value containing one — an address like "12 Smith St, Sydney" — will spill into the next column. Remove internal commas before importing, or fix those records by hand afterwards. Your file must also have a header row plus at least one data row.

Exporting your customers

Click Export to download your customer list as an Excel spreadsheet.

  • The export includes First Name, Last Name, Email, Phone, Address, Preferred Time, Notes, Total Calls, and Added On.
  • Search narrows the export. If a search filter is active, only the matching customers are exported — handy for pulling one segment, and worth clearing if you want the full list.

Blocking a caller

For repeat nuisance or spam callers, you can stop a number from reaching your AI at all.

Open the customer
Click their row. The block control sits at the bottom-left of the form, and only appears for customers who have a phone number on record.

Confirm
A dialog spells out exactly what will happen to calls from that number before anything changes.

Unblock at any time
The same button reverses it, and calls are answered normally again.
A blocked call is rejected before the AI hears it The block is applied the moment a call arrives, so it never reaches your agent, never appears as a conversation, and uses none of your plan minutes. Genuine customers who call from that number will also be turned away — block deliberately.

Deleting customer records

Use the checkboxes in the left-hand column to select customers, then use the delete action to remove them in bulk. A confirmation appears first, and a toast reports how many were removed.

Deleting is not the same as blocking A deleted customer is simply forgotten — if they call again, the AI treats them as new and creates a fresh record. To stop someone reaching you, block them instead; a blocked record must stay in the list for the block to hold.
